How to compare two PDF files and verify the result

Check the words first. Check the page design next. Then open both files and confirm each key change.

The short answer

  1. Label the older and newer PDF.
  2. Check whether you can select text in both files. If you cannot, the page may be a scan.
  3. Use a text check for words and numbers. Use a page view for layout, images, stamps, and type styles.
  4. Read each added, cut, or changed passage in context.
  5. Open both source pages before you approve a key change.

Pick the method based on what you need to catch. A text check can find a new payment window. A page view can find a moved signature or changed drawing. Many business files need both checks.

Choose the right check for the job

Need Use Watch for
Changed clauses, dates, prices, or names Text check Scans and words inside images
Changed layout, art, stamps, or signatures Page or pixel check Harmless shifts caused by a new page break or export
A record another person can check Source-cited change list or saved report Notes without the old and new wording

Do not assume that one pass checks words, type styles, and images. Read the settings and limits. A clean result does not prove that the files match.

1. Label the older and newer files

Save both PDFs with names that show the date, draft, or sender. Put the older file on the left and the newer file on the right when you can.

File order matters. If you reverse the files, an addition becomes a deletion. Record the file names and page counts. This lets another person run the same check later.

2. Check whether the PDFs have readable text

Try to select and copy one sentence from each file. If you cannot, the page may be a scan. A text tool cannot report words that it could not read.

Some tools use OCR to read scanned pages. OCR can still misread digits, columns, and faint type. Check scanned pages by eye. Pay close care to prices, dates, counts, and signatures.

3. Run the comparison

In Adobe Acrobat Pro, open Compare files. Pick the old and new files. Choose the file settings, then run the check. Adobe has settings for reports, slide-like pages, scans, drawings, text, and page ranges.

Most online PDF tools use the same steps. Add the old file first and the new file second. Then choose a text, side-by-side, redline, or page view. Read the file storage and privacy terms before you add a private file.

DocDiffAI takes an older and newer PDF or Word file. The free wording diff lists added, cut, and changed text with source-page links. A paid AI Review puts cost, time, duties, rights, and risk near the top.

4. Review every change, then sort your attention

Start with the full change list. Do not let a rank hide the edits near the end. Then look first at money, dates, duties, rights, renewal, exit terms, risk, and notice.

Read the text around each change. A move from 30 days to 60 days means little on its own. Find out if it controls payment, an exit, notice, or time to fix a breach.

Take extra care with tables. Make sure each number stayed with the right row and column. A right digit under the wrong heading is still wrong.

5. Check key findings against both PDFs

Open the cited page in the old file and the same page in the new file. Check the exact words, heading, table labels, and nearby terms.

If the result says there are no changes, check the file names, page counts, scans, and tool settings. Make sure the tool could read each page. Then read the high-risk parts by hand.

Use the PDF comparison verification checklist for a fuller check of scans, numbers, tables, missing pages, and clean results.

Save a review record someone else can use

A useful record names both files. It keeps the old words, new words, source pages, owner, open question, and choice. Payment changed makes the next person repeat your work.

Before you pick a format, see what a PDF comparison should return. It covers page counts, full change lists, source links, review order, and clear limits.
