How to check a PDF comparison before approval
A PDF comparison can save time, but it can also miss or misread a change. Check every important change in both files before you approve the new version.

Check the files, not just the report
A comparison report points you to a change. It is not the final proof. If the report points to page 12, open page 12 in both files. Read the whole sentence, table row, or section. Make sure the older and newer files are in the right order.

Five steps to check a result
- Check the file names and dates. Make sure you chose the right pair and put the older file first.
- Open the change in both files. Read the words around it, not just the highlighted line.
- Name what changed. Was it a word, number, moved paragraph, or change in how the page looks?
- Look twice at a result that says no changes. Check the files, the scan quality, and the most important sections by hand.
- Write down what you checked. Save both page numbers and note anything that is still hard to read or understand.

What to do when the result says no changes
First, make sure you did not choose the same file twice. Check the file names, dates, page counts, and old/new order. Then make sure the tool was set to compare the parts you care about.
Next, try to select text on each page. A scanned page may be only a picture. If you cannot select the words, use a visual check or run text recognition. For a contract or approval, read the sections that matter most even if the tool found nothing.
Four places that need extra care
- Scans and OCR
- OCR turns a page image into text a computer can read. It can mistake a letter, number, mark, or column. Compare the page image with the text before you trust an important change.
- Numbers and tables
- Read the row name, column name, unit, date, and note with the number. If $12,500 changed to $17,500, check that both amounts belong to the same item and currency.
- Moved text
- Search both files for a sentence before you call it deleted. A paragraph may have moved to another page without changing its words.
- Changes in how the page looks
- A font, color, heading, or spacing change may matter even when the words stay the same. Look at both pages when the design is part of the decision.
